Executive Project Management Job Description
Shantha Biologics is looking for a motivated Associate Project Manager to support the planning and execution of projects across the organization. This Executive Project Management role sits at the intersection of coordination, communication, and execution — working closely with multiple teams to keep projects on time, within scope, and aligned to business goals. Reporting to a senior project manager or department head, the successful candidate will manage defined work streams and smaller projects independently while building toward end-to-end ownership of larger initiatives over time.
Key Responsibilities
- Support planning, execution, and tracking of projects from initiation through completion, under the guidance of a senior project manager.
- Maintain project plans, timelines, and trackers; monitor progress against milestones and flag deviations promptly.
- Coordinate cross-functionally with relevant teams and stakeholders to align on deliverables and dependencies.
- Plan and conduct cross-functional meetings; capture action items and follow up with owners to ensure timely closure.
- Help identify, log, and track project risks and issues, escalating as needed to senior project management.
- Prepare status reports, meeting notes, and dashboards for reviews and stakeholder updates.
- Maintain accurate and organized project documentation throughout the project lifecycle.
- Coordinate with external partners and vendors on project-related deliverables and timelines as directed.
Eligibility Criteria
- Bachelor’s or master’s degree in any relevant discipline; Life Sciences, Biotechnology, Pharmacy, or Engineering backgrounds are a plus.
- 2–5 years of experience in project coordination or project management, preferably in the biologics, vaccines, biotechnology, or pharmaceutical industry.
- Experience coordinating projects involving multiple internal teams is a plus.
Required Skills
- Strong working proficiency in MS Excel and MS PowerPoint.
- Working knowledge of project management tools such as MS Project.
- Good stakeholder coordination skills and comfort working across cross-functional teams.
- Experience planning and running meetings, with strong follow-through on tracking action items to closure.
- Basic understanding of budgeting, resource planning, and risk tracking practices.
- Strong verbal and written communication skills, with the ability to prepare clear status updates.
- Good analytical and organizational skills, with comfort managing multiple priorities.
- Eagerness to learn and grow into greater project ownership over time.
